QUOTE BUILDER MODULE

Quote automation, with your approval.

From quote request to finished quote: the agent assesses the need, asks for any missing details, assembles the quote from a template and price list, and follows up. You approve it before it goes out.

Who it’s for

For companies that receive several quote requests a day by email, web form or phone, where putting a quote together is repetitive work that still needs care: manufacturers and distributors with product-based pricing, contractors with sample quotes, event and hospitality venues with package prices. If a single quote takes half an hour and you prepare more than twenty a week, this is typically the first process worth handing over.

What problem it solves

Quote requests sit for days because whoever handles them is busy with something else. Some quotes are inconsistent, made from a different price list or an old template. Follow-up gets skipped, so the prospect quietly disappears. The agent closes these three leaks: it replies quickly, always by the current rules, and never forgets the second email.

What exactly the agent does

  1. 01
Needs assessmentThrough 5-10 targeted questions on a web form, or from the content of the incoming email. It recognizes the quantity, the product type or the nature of the service.
  2. 02
Clarifying questionsIf a detail is missing, it asks by email, in your tone of voice. It links the answer back to the same deal.
  3. 03
Quote assemblyBased on the uploaded templates, sample quotes and the current price list. Rule-based discounts, delivery terms and payment terms are applied automatically.
  4. 04
Approval gateThe quote waits for you as a draft, and with one click you approve, edit or reject it.
  5. 05
Sending and follow-upOnce the quote is out, it sends follow-up emails on a set schedule (for example weekly) until a reply arrives.
  6. 06
Closing in the CRMIf the quote is rejected, the deal moves to Opportunity Lost status and is archived. If an order comes in, it hands the deal over to the next process.

Where human review is needed

Every quote waits for approval before it goes out, and we don’t switch this step off. Requests outside the pricing rules (a custom discount, an unusual quantity, a missing product) are escalated to you. The agent suggests and prepares, the commitment stays yours.

Which systems it connects to

In our reference deployments, Odoo CRM and Sales is the system of record, and the incoming channels are email (Gmail) and the website form. The quote template can be your own Word or PDF template. For other business management or email systems, we build a custom integration, quoted individually. Details on the Odoo automation page.

How the deployment works

  1. 01
First callWe look at what takes up most of your time, and decide whether this process is a good first step.
  2. 02
MappingWe collect the templates, price lists, rules and exceptions: this is what the digital twin for this process is built from.
  3. 03
Build and testAt first the agent only makes suggestions, and you check them. We keep tuning it until the suggestions are consistently right.
  4. 04
Go-live with an approval gateThe decision points stay with you. The twin logs what it did, so every step can be traced.

What affects the price

Three things drive the price: the number of modules you switch on, the complexity of the process (how many exceptions and decision points it has), and the integrations needed. The monthly fee starts from 200 000 Ft for micro and small businesses and from 300 000 Ft for medium-sized businesses, net of VAT (see pricing). Custom processes and integrations are quoted individually. After the first call you get a quote tailored to your own processes, with no commitment.

What real proof is available

For the deployments below, the clients have provided reference letters signed on behalf of their companies. We don’t publish the company names here for business reasons, but we can show you the letters on request.

  • Hospitality and winemaking, Northern HungaryUnified intake of guest inquiries, automated quoting and replies, handling of bookings and deposits with human approval, with Odoo integration and a management dashboard. The deployment is still ongoing.
  • Construction products manufacturer and distributor, Southern Great PlainAutomated quote preparation: recognizing quantity and product type, rule-based discounts and pricing, setting delivery and payment terms, with Odoo ERP/CRM integration. Phased deployment in progress.
  • Solar installation contractor, Eastern HungaryAutomated replies to incoming quote requests based on uploaded sample quotes, sample products and prices, with built-in decision gates. Early, active deployment phase.

You can request a live demo on your own quotes: bring a real quote request and your template, and we’ll show you what the agent would make of it.

CUSTOMER QUESTIONS

What people usually ask about this process.

How quickly does the agent respond to a quote request?

The needs assessment and the draft are ready within minutes. When the quote actually goes out depends on when you approve it: if you review the overnight requests in the morning, the quotes go out before noon.

Can the agent send a quote without approval?

Technically it can be set up, but we don’t recommend it, and our reference deployments don’t work that way either. Making commitments remains a human decision; the agent takes over the preparation and the follow-up.

What happens if the customer asks for something that isn’t on the price list?

The agent recognizes that the request falls outside the rules and escalates it: it flags the deal, summarizes what’s missing, and waits for your decision. It doesn’t guess a price.

Do I need Odoo for this?

In our reference deployments, Odoo CRM is the system of record, because that means the least integration work. Other systems can be connected too; we look at this during mapping, and the quote covers it.

How much does it cost?

The monthly fee starts from 200 000 Ft for micro and small businesses and from 300 000 Ft for medium-sized businesses, net of VAT. Custom integrations and the complexity of the process affect the price. We give you a concrete quote after a short call.

Let’s see it on your own process.

We’ll show you what the twin would take over for you, and how much time it would give back. No commitment.
