ODOO · ERP AND CRM

Odoo process automation with AI agents.

With approval gates: lead capture, quotes and orders, finance and purchasing routines, inventory and supplier monitoring in Odoo. It builds on your existing system instead of replacing it.

Who it’s for

For companies that already use Odoo (or are implementing it now), where the manual work around the system eats up time: entering leads, confirming orders, tracking supplier deadlines, watching inventory levels, month-end reconciliation. The agent takes over these routines while Odoo remains the single source of truth.

What problem it solves

Odoo is worth a lot when it’s up to date. In practice, though, entries get skipped, statuses don’t get updated, and the report shows what someone typed in two weeks ago. The agent turns incoming events (an email, a form, an order, a supplier confirmation) into Odoo records right away, and puts the decision points in front of you for approval. That way the system reflects reality, and you can make decisions based on it.

What exactly the agent does

  1. 01
Lead captureIt records prospects arriving via a website form, email or another channel in Odoo CRM, together with the source and the message content.
  2. 02
Quotes and ordersIt recognizes when a quote is accepted, rejected or needs changes, and moves the deal to the right status. When an order comes in, it prepares the order and the confirmation.
  3. 03
Purchasing and suppliersIt records supplier confirmations and deadlines, and when inventory drops below the threshold, it prepares a reorder proposal for approval.
  4. 04
Finance routinesIt prepares incoming invoices for bookkeeping, drafts reminders for overdue items, and compiles a summary for the month-end close.
  5. 05
Approval engineEvery financial, purchasing or otherwise binding step goes into an approval queue. In the queue you see what’s waiting for you, and decide with one click.
  6. 06
Management summary and alertsA daily or weekly summary with the key numbers, and an alert when something is off: slowing inventory turnover, a stalled case, a missed deadline.

Where human review is needed

The agent doesn’t move money, start a purchase or make a commitment on its own: it prepares a proposal, and you approve it. We set the level of the approval gates together, and you can tighten them any time later. Every automated step is logged, so you can trace who approved what and when.

Which systems it connects to

Our reference deployments use Odoo (CRM, Sales, Purchasing and Finance modules), Gmail as the incoming channel, web forms, and syncing with spreadsheet data sources. Inventory sync between a webshop and a warehouse was also part of one deployment. For other systems (invoicing software, bank, courier service), we build a custom integration, quoted individually.

How the deployment works

  1. 01
First callWe look at what takes up most of your time, and decide whether this process is a good first step.
  2. 02
MappingWe collect the templates, price lists, rules and exceptions: this is what the digital twin for this process is built from.
  3. 03
Build and testAt first the agent only makes suggestions, and you check them. We keep tuning it until the suggestions are consistently right.
  4. 04
Go-live with an approval gateThe decision points stay with you. The twin logs what it did, so every step can be traced.

What affects the price

Three things drive the price: the number of modules you switch on, the complexity of the process (how many exceptions and decision points it has), and the integrations needed. The monthly fee starts from 200 000 Ft for micro and small businesses and from 300 000 Ft for medium-sized businesses, net of VAT (see pricing). Custom processes and integrations are quoted individually. After the first call you get a quote tailored to your own processes, with no commitment.

What real proof is available

For the deployments below, the clients have provided confirmations signed on behalf of their companies. We don’t publish the company names here for business reasons, but we can show you the confirmations on request.

  • Hospitality and winemaking, Northern HungaryAutomated support for bookings, deposits, invoicing, daily operations, and inventory and supplier management, all connected to the Odoo business management system, with a central approval interface and a management dashboard. The deployment is still ongoing.
  • Construction products manufacturer and distributor, Southern Great PlainOdoo ERP/CRM integration: unified management of quotes, customer and product data, and a central price list; automated order intake and confirmation with inventory analysis and estimated delivery times. Phased deployment in progress.

In the demo, we show you in your own Odoo (or a demo instance) how an approval round would run for you.

CUSTOMER QUESTIONS

What people usually ask about this process.

Do I have to replace my existing system?

No. The agents build on your existing Odoo, and Odoo stays the home of your data. If you don’t have Odoo yet, we can take on the implementation too; we agree on that separately.

Which Odoo version does it work with?

The deployment adapts to the version you run, which we check during mapping. The integration goes through Odoo’s standard API.

Does the agent have access to financial data?

Only to what you grant it for its task, and because of the approval gates it doesn’t initiate money movements on its own. We set the access levels together, and every step can be traced in the log.

What happens if the agent makes a mistake?

Binding steps wait for approval, so a mistake stops at the proposal stage. You fix classification or matching errors with one click, and the system learns from them. Every step is logged.

How much does Odoo automation cost?

The monthly fee starts from 200 000 Ft for micro and small businesses and from 300 000 Ft for medium-sized businesses, net of VAT. The number of Odoo modules involved and any custom integrations affect the price. We give you a concrete quote after a short call.
